Job Title: Operations and Logistics Specialist
Summary
The Operations and Logistics Specialist acts as a liaison between Production, Shipping, Quality
Control, Engineering, Inventory, Finance, and Sales. This position is the intermediary and focal
point for various activities within the organization and requires a high degree of attention,
meticulous handling of information, and effective communication to various departments
through the use of reports, data logs, spreadsheets and other mediums. Specifically, this
position is responsible for the accurate and timely information flow to internal and external
stakeholders (team members and vendors), performs physical inventory counts, supervises the
shipping clerk, coordinates procurement of components, arranges and tracks shipments of
inventory, maintains all supplier/vendor relationships often times with oversea partners,
requiring considerable flexibility participating in zoom calls/phone calls with stakeholders
across various time zones (EST, China).
Job Responsibilities
● Initiates and partners with Production on periodic physical inventory counts and
reconciliation efforts, including inventory adjustments.
● Coordinates the inventory procurement process, creates purchase orders,
communicates expectations to suppliers, and works with various logistics services
providers.
● Dialog with international freight forwarders, shipping agents, importation and filing of
required documents with shipping agents and customs brokers.
● Research and implement new cost‐savings measures along the supply line, obtaining
freight forwarder quotes, tariff/duties review with customs brokers, investigate future
duty drawbacks, submitting check requests for international importation remittances,
and other tax/duty matters.
● Tracks all purchase orders, updates various reports and communicates to stakeholders
the status of orders including but not limited to estimated departure dates (ETD),
estimated time of arrival (ETA), and last‐minute changes to these critical dates.
● Creates new inventory parts in QuickBooks, revises Bill of Materials (BOMs) for
assemblies as needed, and updates respective schedules where these items may live.
● Works with Accounts Payable on supplier payment updates and communicates
information to suppliers and overseas partners.
● Maintains shared documentation for backlog and other relevant concerns, including
backorders, inventory shortages, and estimated delivery dates, and delays.
● Maintains/manages Production and Inventory dashboards including purchase order
status reports, spreadsheets for the tracking of all components, inventory levels, and
buildable goods.
● Focus on efficiencies and process improvements around production, shipping, and the
supply chain.
● Tracks and participates in discussions with engineers and suppliers regarding defects,
rejects, and technical non‐conforming material reports (NMRs). Works to ensure prompt
resolution of NMRs and receipt of replacement materials.
● Become an expert of our products by developing a thorough understanding of multi‐
level BOMs, assemblies, finished goods, drop shipped components, vendor capabilities
and relationships.
● Additional duties as required.
Skills & Abilities
● Strong interpersonal and team player skills with an ability to communicate effectively at
all levels of an organization both internally and externally
● Impeccable and demonstrated organizational skills; extremely meticulous
● Working knowledge of ERP software (QuickBooks)
● Intermediate to advanced knowledge of Office Applications, specifically Excel
● Excellent verbal and written communication skills.
● Ability to multi‐task in a busy environment
● Ability to work individually on a project or in a team environment
● Stamina and agility to work flexible time schedules to accommodate international
partners.
Education & Experience:
● Minimum high school diploma or GED, with a minimum of three years related
experience, or an equivalent combination of education and experience in a
manufacturing environment.
● Supply chain management experience is highly valuable.
● Supervisory experience preferred.
● Fluency in Mandarin is highly valuable.
● Experience in multi‐level BOM management and knowledge of photographic equipment
is a plus.
Physical Demands of Position
While performing the duties of this position, the employee is frequently required to sit, stand,
bend, kneel, stoop, walk, communicate, reach, and manipulate objects. The position requires
mobility including the ability to move materials weighing up to 5 pounds on a regular basis such
as files, books, packages, office equipment, etc. and may infrequently require moving materials
weighing up to 30 pounds. Manual dexterity and coordination are required more than 90% of the
work period while operating equipmentsuch as computers and otherstandard office equipment.
Working Conditions
Sitting or standing workstations, manual or power tools, computer, laptop, keyboard, monitors,
mouse, calculators, printers, and other standard office equipment. The employee is sometimes
exposed to airborne particles and fumes. The noise level in the work environment is usually low
with some background noise, personal interruptions and occasional moderate noise from power
equipment.
Supervisory Responsibilities:
Will supervise the shipping clerk and provide coverage as needed. Mentoring, tutoring, and
performance management of the clerk will be essential. A willingness to understand the shipping
clerk’s workload and work product. Identify strength/weaknesses and challenges/opportunities
within the shipping department.
