Job Title: Accounting and Business Operations Manager

Purpose of Position
This position oversees and manages the day to day accounting activities and business operations to ensure the achievement of sales, profit and cash management goals.

This cross-discipline role is responsible for performing daily general accounting and bookkeeping duties (AP/AR, payroll, general ledger posting, monthly and annual closing process).  The position also provides higher level analysis, month end review and closing processes, monthly variance reports comparing actual to budget and year-ago, annual budget preparation, and oversees the factoring process with our lending facility.

In addition to these finance duties, this position plays a pivotal role in coordinating the day to day operational/administrative duties including Sales Operations Planning and Human Resources. This position acts as the go-to person when the President/General Manager is out of the office.

Scope of Responsibility
This person in this position has a high impact on Lensbaby’s business with regard to the extent to which actions expose the company to risk or liability.  The position operates independently in most daily activities, with some oversight from the President and CEO. The functions of this position are highly valuable to Lensbaby by providing data that informs decisions company wide, and impact the short and long term health and stability of the business.  There are three key areas of responsibility: General Accounting, Accounting Management, and Administrative Operations.

Essential Job Functions


General Accounting duties

  • Prepare and manage A/P, A/R 
  • Reconcile bank statements and other accounts
  • Prepare and process accurate semi-monthly payroll for exempt and non-exempt employees according to strict schedule
  • Prepare projections and cash flow models
  • Prepare sales reports, forecast/actual reports and other reporting as necessary
  • Monitor cash flow
  • Fixed asset documentation, tracking, and depreciation,1099 preparation
  • Develop, implement, modify, and document recordkeeping and accounting systems
  • Handle confidential documents and information with appropriate discretion
  • Supply all required information for tax accountant
  • Maintain filing system

Accounting Manager Duties

  • Prepare month end review and preliminary financial statements
    • Reconcile bank statements
    • Reconcile balance sheet
    • Review income statement and make appropriate changes based on management direction
    • Basic journal entries at month end close
    • Prepare report comparing actual to budget and year ago
    • Review COGS and note any unusual variances and impact on gross margin
    • Process sales adjustments and credit memos to ensure they meet existing policies
  • Prepare annual budget at direction of the President/General Manager
  • Manage and execute the process with our lending facility to ensure invoices are being properly factored, and track the expenses and fees related to these transactions
  • Review and modify accounting procedures as needed
  • Review and make adjustments to inventory valuation with management direction
  • Build capitalization tables and amortization schedules when needed
  • Act as liaison between company and contract CFO
  • Other projects as required

Administrative and Operational Duties:

  • Manage the Sales Operation Planning Process (SOP); reconcile the sales unit forecast with production demand, purchasing plan and cash management.
  • Proactively identify obstacles to achieving financial goals, and with guidance, develop and implement corrective action plans.
  • Work with Logistics/Supply Chain Manager and Production Manager to ensure customer orders are met on a timely basis
  • Handle HR duties including on-boarding and off-boarding employees, benefits management, PTO administration, etc.

Skills & Abilities

  • Great organizational skills are necessary to execute responsibilities
  • Strong financial accounting background, preferably in a manufacturing or distribution company
  • Experience with Quickbooks is required
  • Experience with Microsoft Office Suite, Gmail, Google Docs and Calendar
  • High level of technical expertise with Excel including look up, pivot tables, and formula functions
  • Ability to multi-task including ability to switch between repetitive tasks and analytical thinking
  • Capable of maintaining strong working relationships with other staff
  • Strong reasoning and analytical abilities
  • Experience in a production environment
  • Strong interpersonal and team player skills with an ability to communicate effectively at all levels of an organization both internally and externally.
  • Ability to work well independently and collaboratively
  • Excellent written, verbal and interpersonal communication skills

Non-Essential Job Functions

Education & Experience:

  • Minimum Bachelor’s degree in Accounting, or an equivalent combination of education and experience
  • Minimum 5-7 years of accounting management experience
  • Cross functional experience by working with production, operations and human resources a plus


This role involves a high level of sustained mental exertion in order to perform a variety of complex operations.  Requires strong analytical skills.

Physical Demands of Position

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach, and manipulate objects. The position requires mobility including the ability to move materials weighing up to 5 pounds on a regular basis such as files, books, office equipment, etc. and may infrequently require moving materials weighing up to 30 pounds. Manual dexterity and coordination are required more than 50% of the work period while operating equipment such as computers and other standard office equipment.

Working Conditions

Computer, laptop, keyboard, monitors, projectors, mouse, calculators, printers, and other standard office equipment. Usual office working conditions.  The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.  

Supervisory Responsibilities:

May supervise a part time Bookkeeping position.
